Job description
Position Summary:
◆ Support project managers on GWS US projects
◆ Maintain overview of project logistics
◆ Maintain project data in Saviom
Essential Duties & Responsibilities:
◆ Create and maintain project folders and documentation
◆ Responsible for being primary internal point of contact for project
◆ Fosters productive relationships with clients, customers, and technicians
◆ Maintain an overview of logistics costs for the project
◆ Track and submit project invoices
◆ Track data for financial reporting
◆ Review technician timesheets, and assist technicians with timesheet questions when needed
◆ Makes visits to project site when needed and provides assistance to site leadership
◆ Distribute project information to project team, including the project letter or presentation to new technicians on project site
◆ Research best means of travel, transportation, and accommodation for the project team
◆ Ensures accurate and timely reporting of time & attendance records for compensation payable to employees, including union and prevailing wage requirements
◆ Partners with various internal departments including accounting, operations, legal, and hr
◆ Develops effective means of communication with associates at all levels across the business to build a relationship of trust and respect
◆ Special projects, as assigned.
◆ Flexibility to travel up to 20%
◆ Flexibility to work overtime hours on weekly basis
◆ All other duties as assigned
Job requirements
Minimum Qualifications, Skills, Knowledge and Abilities:
◆ Pre-employment background check and drug test
◆ At least two years of administrative experience, preferably within a construction industry
◆ Strong PC skills, with proficiency in MS Office, especially Excel & Project
◆ Excellent communication and interpersonal skills to effectively interact with all levels of internal and external personnel.
◆ Detail oriented, with ability to assist on multiple projects simultaneously and meet deadlines.
◆ Strong organizational skills and research skills.
◆ Able to effectively work in a fast-paced environment and display a sense of urgency.
◆ Strong customer service skills.
◆ Function with little supervision. Be an effective team player.
◆ High energy, self-motivated, service-oriented and ethical with a high degree of integrity
Working Conditions and Environment:
◆ Must be able to work independently.
◆ Must be able to move around the office up to 20% of the time to make copies, fax, file, etc.
◆ This position operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.) on a regular basis. This position must be able to inspect and
observe information on a computer screen at least 80% of the time.
◆ This position requires prolonged periods of sitting at a desk and working on a computer.
◆ This position requires constant communication and exchange of information with the Company’s employees, clients, vendors and/or contractors.
◆ Must be able to lift up to 25 pounds.
◆ Must be a citizen of this country or possess a valid work permit.
