Job description
We are expanding our team with an Office & Workwear Coordinator to be based in Poland.
The Office & Workwear Coordinator works closely with Operations Management as well as with Country Manager. Working on that position means being in constant movement and in contact with all the offices of Polish Business Unit of GWS (in: Szczecin, Dobra and Koszalin) and being engaged in the daily work routine of all these facilities. Moreover, you will be responsible for internal travel arrangements for technicians hired in Polish Business Unit (PL BU). You will be also an administrator of Blaklader platform, which is used by all GWS technicians for purposes of supply in necessary workwear.
This position includes combination of logistical, organizational, administrative and employer branding tasks.
TYPICAL DUTIES WILL INCLUDE
Plan and book the technicians’ domestic travel arrangements incl. flights, ground transportation, hotels
Develop supplier relationships with travel agents, hotels and transport companies (initiate corporate contracts, improve services, negotiate terms and conditions, rates etc.)
Act as an administrator of workwear order system and a single contact point of this process for technicians from all GWS Business Units
Ensure the smooth running of the logistical and organizational aspects of platform: from placing orders through delivery to returns
Work on improvement and optimization of the workwear order system basing on created monthly reports with statistics
Deal promptly and professionally with employees’ e-mails and phone call inquiries
Keep up with the daily routine and emerging needs in all offices of GWS in Poland, incl. ordering equipment and supplies as well as collecting
a feedback from those facilities
Support the internal integration initiatives of GWS by organizing events for all the employees, picking up on ideas of our co-workers in this field and helping to get them to life
Monitoring of workwear levels inventory
Assisting with administration arrangements, invoicing etc.
Job requirements
Excellent communication and interpersonal skills to effectively establish business relationships with our personnel working in various facilities and project sites
People orientation – optimistic and open-minded approach to the ups and downs of daily work of our staff
Fluent English both spoken and written
Strong organizational sense and logistical skills – multi-tasking would be your work routine
Both: initiative starter and team player
Flexibility: car sharing and desk sharing systems means for you lack boredom
Valid driving license cat. B – driving a company car on shorter or longer routes should be your natural activity
Strong PC skills, proficiency in MS Office
Ready to have flexible working hours (full time employment)
